The role We have an exciting opportunity for a Receptionist to join our Dublin office. The role will involve providing a high‑quality client experience (internal and external), delivering friendly and efficient customer service, and creating a warm and welcoming atmosphere for all guests. It will also involve completing a variety of administrative tasks, multitasking, using initiative, and meeting deadlines.
What will you do
Meet and greet all clients and visitors, offering a relaxed yet highly professional welcome at all times.
Liaise regularly with building security/reception regarding visitors, including granting access and informing staff of arrival in a timely manner.
Ensure the reception area is on brand at all times; keep it clutter‑free and liaise with the Office Manager about any maintenance issues.
Provide light refreshments in the reception area and prepare conference rooms, replenishing stocks and maintaining drinks machines.
Manage and prepare meeting rooms; prioritise room calendars and ensure rooms are stocked with drinks, ingredients, stationery and are always clean and tidy (including door signs, wipe boards and stationary boxes).
Manage national and international video‑conferencing connections.
Liaise and support as required when setting up large meetings and conferences.
Maintain stock levels of ingredients/crockery in kitchen and reception areas and keep the Office Manager updated.
Book taxis for staff or clients when needed.
Accept and sign for all post/deliveries and inform secretarial staff/recipients in a timely manner to ensure fast and effective distribution and collection of mail.
Keep S&S material up to date and liaise with the Office Manager regarding replenishment/ordering of updates.
Familiarise yourself with the intranet to recognise internal staff.
Keep up to date with team structures to ensure correct mail delivery.
Scanning and sending emails on an ad‑hoc basis.
Exercise flexibility and a willingness to work additional hours on occasion as required.
Provide additional support to secretarial and team administrators when required.
