Description
Located in Dublin and reporting to the Head of Administration, London, you will be responsible for secretarial and administrative support to the CEO and CFO as well as provision of administrative support to senior managers within the company when required. You will also be responsible for managing reception related duties and office support services.
What you will do
Diary management for the Irish based CEO and CFO
Coordinate meeting room bookings including setups for catering and refreshments for formal meetings and supporting the preparation of presentations
Organising travel and hospitality related events as required for internal and external events
Maintaining travel schedules and expense management
Maintaining appropriate confidentiality across all activities
Work collegiately with Personal Assistants in London and overseas offices
Manage car parking, building passes, liasing with building management and any administrative tasks where necessary
Responsible for assisting the CEO and Group Communications with internal staff communications in Dublin
Supporting EA’s and other London PA’s with group events, projects etc
Maintain key internal and external stakeholder relationships
Manage day to day facilities for the Dublin office, providing on the ground support to the Facilities Manager
Coordinate all office operations, including maintaining office and kitchen supplies, and serve as the main point of contact for Dublin office queries, including running Crisis Management communications
What you require for the role
Personal assistant experience is desirable; however, in its absence, a strong work ethic, positive attitude and genuine willingness to undertake the role are required
Having experience in the insurance sector would be an advantage but not essential
Personable with strong interpersonal skills and ability to work effectively with multiple stakeholders
Ability to work under pressure and to meet deadlines; reacting with appropriate levels of urgency to situations and events that require quick response or turnaround
Exceptional organisational skills and impeccable attention to detail
Able to maintain a high level of integrity and discretion in handling confidential information
Aptitude to make informed decisions regarding priorities
Strong verbal and written communication skills
Expert proficiency with Microsoft Office
Be a team player, be proactive in approach, and have a can-do attitude
