About the Role We’re looking for a highly organised and proactive People&Places Coordinator to be the heartbeat of our Dublin office. Sitting within our People&Places team, this role is all about keeping the workplace running smoothly—from creating a welcoming office environment to supporting our people with everything they need to thrive.
This is a truly varied position where no two days are the same. One moment you might be onboarding a new starter, the next coordinating office supplies, managing IT assets, or supporting fleet administration. If you enjoy variety, autonomy, and making a real impact behind the scenes, this could be the perfect role.
What You’ll Be Doing Office&Facilities
Ensure the office is a safe, organised, and well‑stocked environment
Manage access (badges, alarms, parking) and act as key holder
Liaise with building management on maintenance and facilities
Oversee post, couriers, supplies, and general day‑to‑day office needs
People Operations (Joiners&Leavers)
Coordinate IT setup and onboarding for new starters
Support device setup alongside IT to ensure a smooth first day
Manage offboarding, including equipment returns and reallocation
IT Assets&Telecoms
Maintain accurate asset registers for laptops, phones, and equipment
Assist with new hardware setup and support security audits
Fleet Administration
Coordinate maintenance, repairs, and compliance for company vehicles
Track mileage, fuel, and toll records
Manage CVRTs, insurance admin, and vehicle documentation
Training&Events
Prepare training materials and documentation packs
Coordinate catering and logistics for training sessions
Organise office events and social activities
General Administration
Support enquiries, bookings, and operator communications
Maintain records, process payments, and update databases
Provide ad‑hoc support across projects and business needs
Health&Safety
Act as First Aider and Fire Warden (training provided if needed)
Coordinate fire drills, PPE supplies, and compliance processes
Manage confidential waste in line with GDPR standards
What We’re Looking For
Experience in office administration, operations, or facilities
Strong organisational skills with the ability to manage a varied workload
Self‑starter who takes initiative and ownership
Confident communicator with a friendly, professional approach
Proficiency in Microsoft Office (Outlook, Word, Excel)
Discreet and reliable with sensitive information
Fleet or vehicle administration experience
Knowledge of GDPR
Experience preparing high‑volume materials or training packs
