We are looking for a proactive and detail-oriented Administrative Assistant to join our Maintenance team.
Key Responsibilities
Receive and record maintenance requests, ensuring accurate and detailed information is provided.
Update and maintain information records.
Conduct a thorough assessment of requests and route them to the appropriate personnel.
Efficiently plan and organize technician routes.
Coordinate schedules and plan work orders to ensure optimal execution efficiency.
Monitor the progress of ongoing maintenance tasks, ensuring deadlines are met.
Negotiate deadlines.
Propose and implement improvements to the maintenance coordination process for increased efficiency and customer satisfaction.
Ensure excellence in customer service.
Requirements
Previous experience in administrative roles, preferably in Property Management, Facilities, or related fields.
Strong organizational skills, attention to detail, and ability to handle multiple priorities.
Excellent communication skills for interaction with suppliers, customers, and internal teams.
Basic to intermediate knowledge of Excel and management platforms (e.g., Hive, Pipefy, Fixflo, Freshdesk).
Proactivity, problem-solving mindset, and ability to work independently and collaboratively.
Advanced English (mandatory)
