Office Manager - Maternity Cover

Reporting To:

Global Chief HR Officer

Responsibilities

Represent the face of the company, greeting guests, ensuring a professional and customer focused demeanor is presented to all.

Provide support to the SLT with customer onsite visits.

Manage incoming office communications, including answering and directing phone calls through Microsoft Teams.

Support internal and external meetings, including employee Summer&Christmas parties and sports&social events.

Support ad hoc travel enquiries for employees.

Vendor management for the office including couriers, cleaning staff, mobile phone providers and other service providers.

Ensure office facilities, meeting rooms and kitchen areas are fully stocked, organised, and maintained to a high standard, while carrying out occasional local errands as required.

Manage office facilities and coordinate maintenance activities, ensuring the workplace environment remains safe, functional, and presentable.

Support the Health&Safety Committee, monitoring workplace&facilities requirements.

Collaborate with the Finance team to include facilities PO’s&credit card reconciliation on Concur.

Support fleet management and administration duties for the company fleet cars.

Partner with HR to support employee engagement and internal communications through company platforms and communication channels.

Provide flexible administrative support and undertake additional ad hoc duties as required to support business operations.

At least 4 years of experience as an office administrator and assistant to the executive management team within a busy organisation.

Strong management and organisational skills with the ability to manage multiple priorities at once and take on new challenges.

Must be a problem solver with strong attention to detail.

Flexible, adaptable strategic thinker with trustworthy character.

Substantial experience in a fast‑paced, dynamic environment.

Strong interpersonal skills, together with experience in interacting with all levels and departments within a company.

Exceptional written and verbal communication skills.

Must be a self‑starter with excellent interpersonal and communication skills, talent for customer service and team building.
