Mater Private Network is seeking a dedicated and organized
Scheduling Administrator
to join our Central Scheduling Office on a full‑time permanent basis. In this vital role, you will be the engine behind our patient booking system, ensuring that all referrals and appointments across Dublin and our Outreach Centres are processed with the highest level of efficiency and care.
As a Scheduling Administrator, you will directly support the wider functions of the hospital by delivering a premium, customer‑focused service. You will act as a key point of contact for patients, maintaining an empathetic, professional, and highly sensitive approach to their needs while ensuring optimal utilization of our hospital services.
Key Duties&Responsibilities
Appointment&Referral Management: Schedule patient appointments for Dublin and Outreach Centres; process booking forms and referrals efficiently within set timeframes.
Service Optimization: Ensure all hospital modalities are fully booked with strong utilization, proactively managing and refilling cancellation slots.
Patient Communication: Act as a professional point of contact via phone, email, voicemail, and text; provide patients with essential appointment details and preparation instructions.
Clinic Support: Sit consultant clinics and ensure all necessary documentation and information are readily available for patient appointments.
Administration&Records: Maintain accurate archives and records; manage workflows utilizing MS Word, Excel, Outlook, iMedDoc, and the Hospital Patient Administration System.
Quality&Patient Care: Uphold the strict standards of care, safety, dignity, and respect established by the Mater Private Network. Act on feedback from service users and report to supervisors to continuously enhance the service.
Requirements&Qualifications
Education: Leaving Certificate standard of education.
Experience: Sound knowledge, awareness, and experience in administration and workflow processes.
Skills: Excellent interpersonal and communication skills, with a natural sensitivity and awareness toward patient needs.
Technical Proficiency: Strong computer literacy, including proficiency in MS Word, Excel, and Outlook. (Experience with iMedDoc or Hospital Patient Administration Systems is a distinct advantage).
Attributes: Strong coordination skills, high attention to detail, and the ability to use your initiative to improve services.
Resilience: Ability to work effectively under pressure and meet tight deadlines in a fast‑paced environment.
Flexibility: Willingness to adapt working hours to meet changing operational demands.
Additional Information
Probation: This position is subject to a 6-month probationary period (extendable if required).
Pre-Employment Health Assessment: The successful candidate will undergo a pre-employment medical examination carried out by an independent medical advisor appointed by the hospital.
Confidentiality: Strict adherence to Hospital Policy regarding the confidentiality of patient, staff, and consultant records is mandatory.
Uniform: Employees are required to maintain a neat, clean, and business-like appearance in line with departmental attire policies.
