Warranty Administrator Department: Aftersales Reporting To: Warranty Supervisor / Aftersales Management A long-established and growing organisation is seeking a motivated Warranty Administrator to join its Aftersales team. The business represents internationally recognised brands and operates within a dynamic and evolving industry The successful candidate will be responsible for coordinating and administering warranty claims, ensuring all submissions are accurate, compliant with manufacturer guidelines, and processed efficiently. The role plays a key part in delivering excellent aftersales support and maintaining high levels of customer satisfaction. Key Duties&Responsibilities Warranty Administration Assess and process warranty claims submitted by dealerships, workshops, or customers in line with agreed procedures and manufacturer standards. Validate claim details, repair documentation, invoices, and supporting records to ensure accuracy and completeness. Compliance&Policy Adherence Ensure all claims meet warranty terms and eligibility criteria, including coverage periods, mileage limits, and repair authorisation requirements. Maintain compliance with manufacturer policies and internal procedures at all times. Investigation&Evaluation Review claims to identify recurring issues, inconsistencies, or potential misuse. Work closely with technicians, service teams, and other departments to gather supporting information where required. Record Management Maintain organised and accurate records of all warranty activities, including claim tracking, approvals, and payment statuses. Ensure documentation is stored correctly for reporting and audit purposes. Communication&Coordination Act as a point of contact for dealerships, customers, and service departments regarding warranty-related queries. Liaise with technical, parts, finance, and aftersales teams to ensure efficient handling of claims and resolutions. Payments&Reimbursements Prepare and process warranty reimbursements, credits, or settlements accurately and within agreed timelines. Monitor outstanding claims and ensure prompt follow-up where necessary. Reporting&Continuous Improvement Produce reports relating to warranty performance, recurring faults, and claim trends. Provide recommendations to management to improve warranty processes and customer experience. Industry&Policy Awareness Keep informed of updates to manufacturer warranty procedures, regulations, and industry best practices. Communicate any relevant changes internally and ensure updated processes are implemented. Skills&Experience Previous experience within warranty administration, aftersales support, or a similar environment. Strong understanding of warranty processes and industry standards. Technical or mechanical knowledge would be advantageous. Competent in Microsoft Office applications, particularly Excel. Experience using warranty or dealer management systems is desirable. Excellent attention to detail and analytical ability. Strong organisational and multitasking skills with the ability to work under pressure. Effective communication and relationship-building skills. Customer-focused approach with strong problem-solving capabilities. Ability to collaborate effectively across multiple departments.
