We are seeking a highly organised and detail-oriented Accounts Payable & Procurement Coordinator to join our team. This role is responsible for the efficient management of accounts payable processes, subcontractor and labour hire invoicing, procurement administration, and vendor account management. The successful candidate will play a key role in maintaining accurate financial records, supporting operational procurement activities, and ensuring strong relationships with suppliers and internal stakeholders.
Key Responsibilities
Accounts Payable
Manage labour hire and subcontractor invoices, ensuring invoices are accurately matched against timesheets and delivery dockets. Process vendor invoices with correct coding, approvals, and authorisations. Administer company mobile phone accounts, including monthly invoice processing, hardware purchases, and contract management (new, existing, and terminated services). Reconcile vendor statements to the purchase ledger on a monthly basis, identifying and resolving discrepancies promptly. Serve as the primary contact for vendor queries and maintain supplier records, including ensuring current insurance documentation is up to date. Prepare and process vendor payments in line with company procedures and payment schedules. Procurement Administration
Process purchase orders, monitor deliveries, and resolve procurement-related issues efficiently. Reconcile plant hire invoices against agreed pricing schedules and contracts. Prepare monthly labour hire reporting, ensuring all labour requisitions are received, approved, and accurately filed. Skills & Experience
Minimum 3 years’ experience in accounts payable or a general accounting role. Experience within the construction industry is advantageous but not essential. Strong proficiency in Microsoft Excel and accounting software systems. High attention to detail with excellent accuracy in data entry and reconciliations. Strong communication skills with the ability to build effective relationships with vendors and internal teams. Ability to manage competing priorities and meet deadlines in a fast-paced environment. A professional communicator who can work collaboratively across finance, operations, and procurement functions.
