About the post: Specifically, the duties of the post will include: To assist with the delivery of Surgical Specialty Training Programmes with specific duties to the General Surgery Training Programme. Work with the team to ensure ongoing support of the programme and responsibilities are carried out efficiently and effectively in line with programme requirements and wider stakeholder needs, such as Medical Council of Ireland, Quality Assurance and National Doctors Training Planning requirements. To support the HST Operations Manager & team members on the day-to-day activities aligned to the day-to-day activities of the programme and the requirements of our key stakeholders, Trainees, Trainers and Committees. To provide administration and secretarial support when required to the Specialty programme training committees to include organising the meeting with Training Programme Director and committee members, attend and minute meetings. Maintain the central database of the department, Connect SA with training related activities. To assist in the organisation of the training curriculum/activities, relevant courses and events associated with the programme, such as annual recruitment, Trainee reviews, Committee meetings and training courses as required. Assist the Quality Assurance (QA) team in the planning and coordination of hospital inspections for the General Surgery programme, including liaising effectively with internal and external stakeholders, coordinating inspection schedules and meetings, and ensuring the timely preparation and circulation of all required documentation in advance. Assist in the planning, coordination and maintenance of trainee rotation sets across the six-year General Surgery training programme, ensuring compliance with NDTP (National Doctors Training and Planning) requirements and alignment with programme objectives. Ensure compliance with GDPR and organisational data governance standards, including adherence to data retention policies for trainee records following completion of the training programme, and the secure handling, archiving and disposal of confidential information. Handling enquiries, applications, preparing documents and reports as applicable Liaise with relevant internal stakeholders (SARA, Bookings, Faculty, Technical Staff, IT, Finance,) as required. Proactively resolving any problems that may arise to ensure the smooth running of Programmes Liaising with Communications in relation to booking meeting rooms, venues and running events Undertake training on key databases utilised within the department such as, Moodle, Connect SA (CRM), Qpulse, Qpercom, Ungerboeck, ISCP and Agresso as required. Undergoing programmes of training and development as may be required from time to time Representing the best interests of the Department and RCSI at all times Complying with statutory legislation and department rules and requirements in furtherance of your own and general staff welfare and safety Performing other duties within the department as may be required from time to time Person Specification: The successful candidate should be able to demonstrate the following: Strong organisational and administrative skills with the ability to prioritise An effective communication style appropriate to audience and situation The ability to deal effectively with sensitive / personal information appropriately and sensitively.
