About the Role

Are you a customer-focused professional with a knack for sales and organization? As an Inside Sales & Rental Coordinator, you will be the driving force behind our customer experience. Based within one of our fast-paced branches, your mission will be to advise clients, match them with the ideal equipment rental solutions, and coordinate all the commercial administration linked to the branch's activity.

Key Responsibilities & Activities1. Counter & Inside Sales (Advising & Satisfying the Customer)
  • Develop a strong mastery and understanding of the branch's equipment fleet.

  • Welcome clients warmly at the counter and over the phone, accurately identifying and evaluating their needs to advise them on the best equipment choice according to company guidelines.

  • Participate in proactive outbound phone calls to follow up with prospects and maintain relationships with existing customers.

  • Negotiate and defend commercial terms for rentals, retail/trade sales, and associated services.

  • Create commercial offers, quotes, and rental contracts using our specialized software in alignment with corporate pricing and commercial policies.

  • Accurately record all client requests and verbal offers on the dedicated system.

2. Commercial Administration (Ensuring Quality & Process Compliance)
  • Verify and log customer orders into the system, and keep record of any rental refusals.

  • Gather feedback from customers regarding their rental experience (weather interruptions, breakdowns, etc.).

  • Control and audit billing and client data to ensure total accuracy and completeness.

  • Follow up with clients regarding outstanding quotes and payments to proactively manage customer disputes.

  • Organize and archive administrative documents according to company procedures.

3. Internal Communication & Team Coordination
  • Report daily branch activities and customer feedback directly to the Branch Manager.

  • Communicate commercial and urgent booking priorities directly to the workshop and maintenance team.

  • Coordinate delivery schedules, transport routes, and logistics directly with the branch driver(s), depending on the branch setup.

4. Store Management & Client Space Optimization
  • Manage the replenishment, merchandising, and price labeling of retail products on display shelves.

  • Ensure the cleanliness, tidiness, and overall safety of the customer reception hall, coffee area, and product displays.

  • Organize and execute annual inventory counts for both rental equipment and retail items.

  • Maintain healthy, professional, and effective relationships with the branch's suppliers and subcontractors.

5. Versatility & Cross-Functional Projects
  • Participate in cross-functional company initiatives when required, such as quality audits at other branches, training/onboarding new colleagues, or representing the company at trade shows and customer open days.

  • Help mentor and guide apprentices or trainees during their educational placements.

  • Step in to support and temporarily cover other team members' duties when necessary to ensure seamless, continuous customer service.

Safety, Quality, and Corporate Social Responsibility (CSR)
  • Apply daily procedures in line with the branch's ISO standards and corporate quality frameworks.

  • Ensure the safety of all customers, visitors, and personnel present in the branch.

  • Monitor safety rules among colleagues, specifically ensuring the proper wear of Personal Protective Equipment (PPE).

  • Actively participate in the branch's regular safety briefings and initiatives.

  • Maintain ethical, compliant business practices in accordance with corporate commercial guidelines.

  • Promote environmental responsibility through proactive waste sorting, cleanliness, and sustainable retail stock management.

Candidate Profile
  • Experience: Prior experience in customer service, retail sales, inside sales, or counter operations-ideally within the rental, construction, automotive, or industrial distribution sectors.

  • Skills: Excellent communication and listening skills. Highly organized, comfortable managing administrative tasks and multitasking in a busy environment.

  • Digital Proficiency: Strong command of digital tools and IT infrastructure, including ERP billing systems, reservation software, CRM platforms, and stock management tools.

  • Certifications: Holding or being willing to obtain specific equipment operation or electrical certifications relevant to the branch fleet is a distinct advantage.

Key Performance Indicators (KPIs)

Your performance will be evaluated based on the following metrics:

  1. Branch revenue growth and breakdown (rentals, retail sales, and associated services).

  2. Measurable sales activities (outbound calls, conversion rate of quotes, new account openings).

  3. Customer satisfaction and retention levels.

  4. Financial and administrative indicators (credit note percentages, collection turnaround times, dispute resolution).

  5. Respect for QSE (Quality, Safety, Environment) standards, especially across the retail counter space.

  6. Results of internal quality and process audits.
