The Warehouse Team Lead is responsible for the accurate tracking, reporting, and analysis of all warehouse stock and operational activity. This role ensures full visibility of inventory, movements, and discrepancies, enabling data-driven decision-making across operations, installations, and service teams. This position plays a key role in producing timely, accurate reports, maintaining robust stock control systems, and supporting operational performance through reliable data insights. Key responsibilities To own and oversee warehouse operations, including stock accuracy and reporting, ensuring real-time inventory visibility, reliable data insights, and efficient processes to support business decision-making and performance. Team Leadership & People Management - Lead, manage, and motivate the warehouse staff to deliver high performance and accuracy in all activities. - Set clear expectations, objectives, and performance standards for team members. - Conduct regular 1:1s, performance reviews, and development conversations. - Identify training needs and support upskilling of team members in stock control, systems, and processes. - Foster a positive and inclusive team culture, ensuring the right environment, tools and support are in place for individuals to perform at their best and achieve shared goals. - Support the recruitment, onboarding, and induction of new warehouse staff. - Act as the first point of contact for team-related matters, escalating where appropriate. Data Accuracy & System Management - Ensure all stock systems are consistently updated and aligned with physical inventory. - Implement controls to minimise discrepancies and improve reporting reliability. - Conduct regular stock audits and reconciliations, reporting findings clearly. - Continuously improve reporting processes, templates, and data quality. Stock, Reporting & Inventory Control - Take full ownership of stock data accuracy and reporting integrity. - Develop and maintain a robust stock tracking and reporting system. - Ensure real-time accuracy of inventory records. Track and record all stock movements, including: - Goods in - Returns - Installation allocations - Replacement usage Produce and submit a weekly stock report (every Friday), including: - Full stock breakdown (onsite and allocated) - Stock movement summary (weekly activity) - Discrepancies, variances, and root cause analysis - Risks to stock availability Support the Operations Manager in producing monthly reports for SLT, ensuring: - Clear, structured data presentation - Trends and insights - Actionable recommendations Identify and proactively report: - Stock shortages or overstock risks - Recurring discrepancies - Process inefficiencies Purchasing - Liaise with the sales, installation and admin teams to ensure stock ordering is aligned with reported data and demand trends. - Ensure orders are placed in a timely manner to maintain continuity of supply while minimising waste and overstock. - Track incoming deliveries and resolve discrepancies between orders and received goods. Warehouse Operations & Oversight - Oversee day-to-day management and upkeep of the warehouse facility, including planned preventative maintenance of the warehouse and offices. - Maintain an organised warehouse environment that enables efficient stock tracking and audits. - Work with the head of operational transformation to ensure the warehouse is laid out in an optimal way to support operational efficiency and safety. - Manage goods-in and goods-out processes with full documentation and traceability. Waste management - Oversee the safe disposal of green waste, packaging & plant waste. - Liaise with waste management companies in the collection and replacement of skips & bins. Health & Safety Compliance - Ensure the warehouse and offices operate in compliance with Health & Safety regulations and company policies. - Maintain accurate and up-to-date safety and compliance records and documentation. - Conduct and document regular health and safety inspections, audits and risk assessments across the warehouse and office environments. - Promote a strong safety-first culture across the warehouse team. - Ensure safe use, maintenance and inspection of warehouse equipment (e.g. racking systems, ladders, etc.). - Emergency preparedness, act as (or support) fire marshal/first aider where required. - Ensure emergency procedures, signage and evacuation plans are clearly in place and understood. Communication & Accountability - Act as the central point of accountability for stock reporting. Communicate clearly with management on: - Stock status - Issues and risks - Provide transparent, data-driven updates to support decision-making. - Promote a culture of accuracy, accountability, and continuous improvement within the team. Requirements & Experience - Qualification in horticulture with relevant experience or 4 years + of practical experience in a maintenance or similar operational role - Strong experience in horticulture or interior plant maintenance - Advanced stock control and inventory management knowledge - High attention to detail and data accuracy - Proficient in analysing data and generating meaningful reports - Ability to present information clearly and concisely - Strong organisational and systems-thinking mindset - Proficiency in Excel or inventory/reporting systems (preferred) - Experience in warehouse, stock control, or operations roles - Proven experience producing regular operational or inventory reports - Experience supporting field or installation teams (desirable) - Full, clean EU driving licence Other organisations may call this role Warehouse Team Leader, Warehouse Supervisor, Warehouse Operations Supervisor, Warehouse Manager, Inventory Control Supervisor, Stock Control Manager, Warehouse Operations Manager, or Logistics Team Leader.
