Key Responsibilities Ensure efficient administrative support to the Facilities Management Department including cover of the Post and Transport Desk, taking minutes of departmental meetings and preparing presentations for contract review meetings and day to day management of the staff locker rooms. Develop and maintain administrative systems for dealing with the completion and tracking of Facilities Management audits. This will include completion of support services checklists and follow up on reports and action plans on behalf of all the services under the General Services remit. To carry out all aspects of administration work pertaining to the hospital's bed asset management programme. This will require well-developed decision making and prioritising skills together with the ability to work under pressure whilst balancing multiple tasks. Develop and maintain administrative systems for dealing with all correspondence and issues pertaining to the role. Maintain a high quality level of communications and working relationships with colleagues; be flexible and adaptable to the working demands of the department. Liaise with other departments in the hospital and external agencies where applicable. Have a strategic, proactive and flexible approach to work tasks. Liaise regularly with the Facilities Management Grade V Officers and Grade VII Facilities Manager for allocation of duties and ensure line management is kept informed of issues. Contribute to reviewing and updating Standard Operating Procedures (SOP's) pertinent to the role. Assist in the collection and compilation of data, statistics, research and the writing of reports pertaining to the role. Ensure that all duties are conducted in a professional and confidential manner. Manage workload to ensure that unacceptable backlogs do not occur and timelines are met. Carry out any other relevant duties relevant to the post which may be assigned from time to time by the Facilities Management Officers and the Facilities Manager. Be familiar with and adhere to the Policies, Procedures and Guidelines (PPG's) for St Vincent's University Hospital. Other duties that may arise appropriate to the Facilities Management Department. Hygiene/Household Services Ensure the efficient day-to-day administration of tasks for the hygiene and environment services. This will require well-developed decision making and prioritising skills together with the ability to work under pressure whilst balancing multiple tasks. Be responsible for ensuring that good practice cleaning standards are applied in all areas with emphasis on the elements of hygiene standards (including staff and patient environments, contract cleaning and linen management). Complete support services checklists and follow up on action plans and tasks as required for services under the Hygiene and Environment, Household and Facilities Management remits. Assist in the collection and compilation of data, monitoring and reporting of service delivery pertaining to the role. Actively participate in and carry out 3rd party service monitoring and auditing relevant to the role. Engage with external contractors and internal stakeholders for hygiene related services. Work closely with colleagues in Facilities Management, IPC and other departments to ensure a high quality customer focused service is provided at all times. Complete agreed programme of weekly fire checks for support services ensuring follow up actions with relevant departments To represent the department as required, communicating and acting on instructions promptly and with diligence. To assist with the management of Staff Rest Rooms, On-call Rooms and Staff Changing Room Facilities. Administration Carry out administration support for hygiene related meetings including HHQIG, Contractor review meetings etc. Assist in the collation and updating of KPI data appropriate to areas of responsibilities (Hygiene and Environment, Household) Our Requirements Please refer to the job description or candidate informationbooklet attached to this advertisement.
