Administrator Duration: Permanent
Location: Kilkenny
Hours: 40 hours per week (08:30 to 17:30)
Overview of the role
The Administrator role involves providing comprehensive administrative support to various departments and teams. The successful candidate will act as a key point of contact for administrative functions, ensuring smooth running of daily operations and contributing to overall efficiency.
Responsibilities
Manage and organise documents, reports and certifications in both physical and electronic formats, ensuring accurate record-keeping.
Provide general administrative support to assigned managers and teams.
Assist with financial and procurement processes such as raising, receipting and amending purchase orders, processing invoices and handling expense claims.
Maintain and update databases, registers and internal systems, ensuring data accuracy and integrity.
Manage incoming and outgoing correspondence, including emails, calls and inquiries, ensuring timely responses.
Coordinate and organise internal and external meetings and events, preparing documentation and taking minutes.
Compile and distribute reports and presentations, providing research support as needed.
Support client‑related administrative functions, ensuring high levels of customer satisfaction and service delivery.
Assist with training programme coordination and support onboarding for new employees.
Undertake general office duties and ad‑hoc tasks to support departmental operations.
Required Skills
Strong organisational and prioritisation skills, managing multiple tasks and meeting deadlines.
Advanced computer literacy, proficiency in Microsoft Office Suite and/or Google Applications.
Excellent verbal and written communication skills, interacting professionally with diverse stakeholders.
Exceptional accuracy and attention to detail in all administrative tasks.
Ability to work effectively independently and as part of a team.
Proactive, self‑motivated and capable of working on own initiative with a positive attitude.
Solution‑oriented, adaptable and flexible with a willingness to learn in a dynamic environment.
Minimum 2–3 years of proven administrative or coordinator experience.
Work and Residency Requirements If you are an EU/EEA national, you will be asked to show proof of right to work in Ireland.
If you are a non‑EU/EEA national, you will require current and valid permission to work and reside in the Republic of Ireland.
